FAQ

Frequently Asked Questions

What should I bring to an evaluation?

We will send intake paperwork via email and it is best that this is completed before the day of testing. On testing day, bring your insurance card for each of your health insurances for your child and the copay that is due prior to testing-cash or check only.

It is helpful to also provide any other paperwork that could be relevant to the child's communication development, such as a school IEP, other speech-language evaluations within the past year, or other relevant health reports.

What is your attendance and cancelation policy?

If you cannot make your child’s appointment, you must call to cancel and reschedule the appointment 24 hours in advance. Please leave a message if you do not get an answer when you call.

A history of cancelling or “no show/no call” appointments will lead to discharging your child from therapy. If your appointment time is not convenient, please call to discuss changing your scheduled appointment time for future appointments. If you are unsure the dates/times of your appointments, please contact our office at 910-257-2005.

Any patient having three (3) “no show/no call” appointments and/or cancellations will no longer remain on the schedule and your child will be placed on our waiting list. Please remember: we have children on our waiting list that also need therapy. At least 75% of scheduled appointments must be attended in order for the therapy to be effective.

How will I be billed for services?

It is the policy of STS to collect payments at the time services are rendered. Insurance benefits are often paid directly to Sandhills Therapy Solutions (STS). The insurance company may cover such costs and in such case, your account will be credited by STS. You are responsible for providing correct insurance coverage information to STS and notifying STS in a timely manner in the event of any changes. If there is a lapse in coverage or in notifying STS, you will be financially responsible for non-covered services and for services rendered. You are billed in full for any services your health plan deems to be a non-covered service or for any balance due after STS has received payment or denial from your insurance carrier.

All patient balances are to be paid in full upon receipt of the statement. Accounts not paid within 30 days of the date of the statement are subject to a 1.5% monthly finance charge.  STS accepts cash, personal checks, and money orders as payment for services rendered. Credit Cards are not accepted. A returned check fee will be assessed to your account for every check returned to STS for insufficient funds. Patients with two or more checks returned due to insufficient funds must make future payments by cash or money order.

STS reserves the right to turn any patient’s account over to collections if it is deemed that the account has been in default of the payment obligations or for non-compliance with the payment policy. There will be a 25% administration fee added to all accounts turned over to a collection agency. Patient accounts that have been in collections are required to pay old balances in full and pay for all future visits at the time of service.

What forms of payment are accepted?

For out-of-pocket payments, we accept cash and checks.  We do NOT accept Credit Cards.

Do I need a referral?

You will need a referral if you plan to submit claims to your health insurance plan.  A referral from your pediatrician is preferred in most cases. Call your pediatrician and ask their office to send a speech-language referral to Sandhills Therapy Solutions.

Please note, in many cases, we can request the referral from your pediatrician on your behalf.  Call our office at 910-257-2005 to see if we can get the process started for you.

Can I drop my child off and come back when the session is over?

No. You must remain on the clinic property at all times while your child attends their appointment

Do I go in the therapy room with my child?

Parents are always welcome to attend sessions with their child. That being said, some children will participate more with the activities and their therapist when their parent is not present. The decision to remain in the therapy room is something you can discuss with your therapist and can change at any time you choose.

Can I bring my other children to the appointment?

Of course! At times, it is appropriate to include the rest of the family in your child's therapy session. At other times, you can bring a favorite toy or book to occupy the other children while waiting. Keep in mind, you must be responsible for them at all times. Please do not leave children unattended in the waiting room, restroom, parking lot, or in vehicles.
